The individual in this position functions in a “hands-on” role by performing supervisory work in the coordination and completion of tasks related to mailing services, receiving/distribution of goods, and building maintenance.
Essential Job Functions and Responsibilities:(This list is neither all-inclusive, nor restrictive; management reserves the right to further define duties based on operational needs.)
- Manages the work flow of the Receiving Services Department to ensure proper mailing functions are executed both promptly and accurately.
Manages mail processing volume, especially during open enrollment period.
Supervises and evaluates the performance of the Receiving Services Technician and Maintenance Assistant.
Supervises the distribution and collection of all incoming and outgoing mail.
Informs supervisor of needs and problems of the Receiving Services Department.
Works closely with supervisor and Human Resources on issues related to hiring, discharging, evaluating, and disciplining assigned staff.
Maintains established standards for Receiving Services processes.
Develops and maintains section’s budget, and closely monitors postage costs.
Approves/disapproves timesheets and leave requests; works with supervisor on overtime and/or staffing needs.
Maintains general office files related to mail room and procurement activities; coordinates the ordering and delivery of office furniture.
Handles special projects as directed by supervisor.
Ensures that the building is a clean and safe working environment.
Manages the distribution of office supplies and maintains an adequate inventory of office supplies; orders specially requested office supplies.
Maintains fleet of cars and ensures MCHCP owned vehicles adhere to maintenance schedules and have regular inspections.
Coordinates with landlord on maintaining building and grounds; opens building daily at 7:00 a.m.
Performs other related duties as needed or assigned.
Required Knowledge, Skills and Abilities:
Requires extensive standing, bending, walking, driving company vehicles, lifting mail trays (10-15 pounds).
Ability to lift up to 50lbs, lift, bend, and reach overhead in the performance of duties.
Ability to prioritize, organize, and perform work independently and under pressure.
Ability to serve as a productive team member and the ability to demonstrate a professional and positive attitude while establishing and maintaining excellent working relationships with MCHCP management, MCHCP Board of Directors, MCHCP staff, MCHCP members, health plan representatives and general public.
